Front office/Administrative Assistant Job, Kenya.


Reporting to the Group CEO In Kenya, the Front office/Administrative Assistant will ensure the organizations administration work is done in an efficient and effective manner in accordance to the organizations guidelines and instructions and may be required to provide support to other departments if need be.

Key Responsibilities
-Manage outgoing and incoming calls and relay messages in both English and French.
-Regularly communicate, deal with enquiries from and develop relationships with a range of individual clients and organisations
-Write and draft correspondence, reports, forms, and other documents. Assist in proofread and correct material according to grammar and style.
-Organize and update regularly the office filing system both for hard copies and electronic filing and assist in retrieving filed documents.
-Prepare office meetings, recording of minutes and follow-up of agreed work.
-Ensure timely preparation and organization of meetings, workshops, seminars, and events.
-Ensure travel arrangements for the Group CEO and office staff including travel expense reports (check and payment).
-Manage procurement of various items including office stationery, office equipment and furniture.

Qualifications and experience:
Diploma/Degree in Secretarial or Business Administration.
2 years secretarial/office administration experience in a busy office preferably from a financial institution.
Strong communication and interpersonal skills.
Bilingual-Fluency in English and French (both written and spoken) is a must.
Proven experience in secretarial duties and business administration including diary management, travel arrangements, filing, organizing meetings, etc.
Strong planning and organization skills, a keen eye for detail and follow up skills
Good team working skills.
